1. Who this policy is for
This policy applies to SchoolMate Planner, an Android application created by AI Tech Laboratories for parents, guardians, students and tuition teachers. A parent or guardian should create and manage the account when information about a child is involved.
AI Tech Laboratories is the data controller for information processed through SchoolMate. Questions can be sent to support@aitechlaboratories.com.
2. Information we collect
Depending on the features you use, SchoolMate may collect:
- Account details: parent or guardian name, email address, username, encrypted authentication credentials and verification status.
- Student profile: nickname or name, grade and subjects entered by the account holder.
- School-planning content: tasks, homework, timetables, exam schedules, portions, syllabus chapters, teacher or parent notes, school-bag items, preparation progress and reminder settings.
- Uploaded content: photographs of timetables, school circulars, syllabus pages, handwritten notes or test papers that you deliberately choose to analyse.
- Generated content: structured extraction results, learning recommendations, practice questions and progress summaries.
- Technical and security information: request timestamps, limited diagnostic logs, IP address, app version and security events needed to operate and protect the service.
We do not intentionally request a child's precise location, contacts, SMS messages, call logs, microphone recordings, financial information or government identifiers.
3. How we use information
We use information to:
- Create and secure accounts, verify email addresses and enable account recovery.
- Organise school tasks, schedules, portions, notes and reminders.
- Transform user-selected images or text into structured educational planning information.
- Generate grade-appropriate practice and preparation recommendations.
- Display subject progress, learning gaps and preparation risk.
- Prevent abuse, enforce AI usage limits, diagnose faults and maintain service security.
- Respond to support, privacy and deletion requests.
We do not sell personal information or use private school content to build advertising profiles.
4. AI-assisted processing
When you intentionally use an AI capture or practice feature, the selected image, text and relevant grade or subject context are securely transmitted to an AI service provider to produce the requested result. AI output may be inaccurate, so SchoolMate presents extracted or recommended information for parent or tutor review.
SchoolMate does not permanently store the original uploaded image after processing. Confirmed structured results may be stored in your account until you delete them or your account. Do not upload unrelated sensitive documents.
5. Service providers and sharing
We share only the information necessary for trusted providers to operate the service:
- OpenAI: AI image/text understanding and generation.
- Hetzner: application and database hosting.
- Brevo: delivery of account-verification and service email.
- Google Play: app distribution, integrity and purchase services when applicable.
These providers process information under their own security and privacy obligations. We may also disclose information when legally required, to protect users or the service, or as part of a business transfer with appropriate safeguards. We do not share a child's school content with schools or tutors unless the account holder chooses to do so.
6. Advertising and purchases
SchoolMate may offer a free, advertising-supported plan and an optional premium upgrade. If advertising is enabled in a release, the app and Play Store listing will identify that it contains ads. Advertising providers may process limited device, consent and interaction data as disclosed in the app and Google Play Data safety section. School-planning content and uploaded documents are not provided for personalised advertising.
7. Children and parental control
SchoolMate is designed as a parent- or guardian-managed planning tool. Adults control student profiles, uploads, confirmations, tasks, practice and deletion. We do not knowingly allow a child to independently create an account without appropriate parental involvement.
If you believe a child's information was provided without appropriate permission, contact us and we will investigate and remove it where required.
8. Storage, retention and deletion
Account and confirmed planning data remain available while the account is active. Individual tasks, chapters, plans and records can be edited, deleted or archived in the app. Original AI-upload images are processed temporarily and are not retained permanently by SchoolMate.
When a verified account-deletion request is completed, the account and associated student content are removed from active systems. Limited security, transaction or legal records may be retained only where required by law, fraud prevention or dispute resolution. Residual copies may remain in protected backups until routine backup rotation completes.

9. Security
We use HTTPS encryption in transit, restricted infrastructure access, hashed authentication credentials, access controls and service monitoring. No online service can guarantee absolute security; please protect your username, PIN and recovery credentials and notify us of suspected misuse.
10. Your choices and rights
Depending on your location, you may have rights to access, correct, export, object to processing, restrict processing or delete personal data. You can correct much of your planning information directly in SchoolMate. For other requests, contact us from the registered email address.
Device permissions can be changed in Android settings. Local notification permission can be withdrawn at any time, although reminders will stop working.
11. International processing
Our service providers may process information in countries other than yours. Where required, we use appropriate contractual and technical safeguards for international processing.
12. Changes to this policy
We may update this policy when SchoolMate's functionality or legal obligations change. Material changes will be communicated in the app, by email or through an updated effective date on this page.
